Overview









To support the mission of Helio Health, Inc. the Finance Specialist provides accounting support to their Supervisor and the Finance team in meeting the fiscal data entry, and needs of Helio Health, Inc. Candidates experienced with Accounts Payable (A/P), Accounts Receivable (A/R), handling cash receipts and deposits are welcome to apply! • Receives supervision from the Accounts Payable Team Lead, the Accounts Receivable Manager, or the Purchasing Manager and keeps supervisor informed regarding content of workload.
• Responds to accounting requests from Helio Health, Inc. staff.
• Works closely with other Finance Staff.

  • Prepare all invoices for entry into accounting system, including obtaining the appropriate approval and supporting documentation for each invoice, and process in a timely manner.
  • Prepare Operating and PNA aged payables for review and approval of Finance Director, CFO and/or President/CEO weekly.
  • Process, distribute and void checks on a weekly basis for Helio Health, Inc. main operating account and PNA account. This includes processing online vendor payments.
  • Prepare Purchase Orders for entry into accounting system.
  • Order supplies that are approved in the accounting system
  • Reconcile vendor statements monthly.
  • Reconcile Petty Cash monthly, or more often if needed.
  • Maintain Sales Tax and Gas Tax spreadsheets for quarterly submission to NYS.
  • Maintain relationship with vendors, address issues and answer questions.
  • Maintain Accounts Payable files, both current and historical.
  • Prepare daily deposits and uploads for checks received.
  • Process and post all daily cash receipts in accounting system.
  • Maintain backup for all cash and credit card receipts.
  • Enter travel expenses and manual checks/adjustments inter pay cycle for payroll processing.
  • All other duties as assigned, which include but are not limited to:
    • Prepare transfer for bank accounts
    • Keep Finance procedures current that relate to position
    • Manage Receipt books
    • Ordering supplies for Finance and other departments
    • Process 1099s (annually)
    • Maintain Operating lease schedule

      • High School Graduate or G.E.D. required
      • Associates degree preferred.
